Privacy Policy

Who we are

PineBoard is a planning tool for parent-teacher organizations (PTOs and PTAs): a shared calendar, event plans, volunteer signups, shopping lists, and budgets. It’s run by Hilbren Technologies LLC (“PineBoard,” “we,” “us”). This policy covers the PineBoard website at pineboard.app and the PineBoard iPhone app.

Each PTO that uses PineBoard decides what to put in it. When you join a PTO’s board or sign up to volunteer, that PTO’s board members can see the information described below. We provide the service to the PTO and handle the information on its behalf.

Information we collect

Board members (people with a PineBoard login)

Your name, email address, and password (stored by our authentication provider as a one-way hash, never in plain text), and anything you add to your profile, such as a title (“Treasurer”) or phone number.

Volunteers

When you sign up to help on a PTO’s volunteer page, you give your name and email address, and optionally a phone number. You don’t need an account. Board members can also add volunteers themselves.

What PTOs put into PineBoard

Events, tasks, calendar items, meeting agendas, shopping lists, budgets, receipts (including photos and who paid, for reimbursement), notes and attached files, announcements sent to volunteers, and a directory of vendors and donors with their contact details. This can include information about people other than the person entering it.

Notifications and devices

If you allow notifications in the app, we store a push token for your device so we can send them. We also store your notification choices (push, email, or both, by type).

Technical information

Like most online services, our hosting providers keep basic logs (such as IP address, browser or device type, and the time of a request) to keep the service running and secure. The website uses cookies only to keep you signed in. We don’t use advertising or analytics cookies, and the app doesn’t include advertising or tracking SDKs.

Permissions the app asks for

  • Camera and photos: only when you choose to take or attach a photo, such as a receipt or a flyer. Only the photos you pick are uploaded.
  • Calendar: only to add a PTO event or volunteer shift to your calendar when you tap “Add to my calendar.” We don’t upload or store your calendar.
  • Notifications: to tell you about assigned tasks, upcoming due dates, signups, and announcements. You can turn each type off in My Settings.

How we use information

  • To run PineBoard for your PTO: showing plans, tracking signups and budgets, and storing files.
  • To send messages the service depends on: sign-in and invitation emails, volunteer confirmations and reminders, task reminders, and announcements a board member sends.
  • To keep the service secure, prevent abuse, and fix problems.

We don’t sell personal information, share it for advertising, or use it to build marketing profiles.

Who can see it

  • Your PTO’s board members can see the PTO’s events, plans, volunteers, budgets, receipts, notes, files, and contacts. Each PTO’s information is kept separate from every other PTO’s.
  • Volunteers see the public signup page for an event and their own signups through a personal link. The public page shows the event details and open spots, not other volunteers’ contact information.
  • Calendar links: if you subscribe to the PTO calendar, anyone who has your personal calendar link can see the calendar entries it shows. You can reset the link in My Settings.

Service providers

We use a small number of companies to run PineBoard. They process information only to provide their service to us:

  • Supabase: database, sign-in, and file storage.
  • Resend: delivering email.
  • Apple and Expo: delivering push notifications to iPhones.
  • Our website hosting provider, to serve pineboard.app.

We may also disclose information if the law requires it, to protect people’s safety, or as part of a sale or merger of the business, in which case this policy would continue to apply.

How long we keep it

We keep a PTO’s information while the PTO uses PineBoard so it can plan again next year. Board members can delete events (which deletes their files and receipts), remove volunteers and members, and delete contacts at any time.

You can delete your account in the app or on the website under My Settings. If you’re the PTO’s last board member, deleting your account deletes the PTO and everything in it. Deleted information may remain in backups for a short time before it’s overwritten.

Security

Information is encrypted in transit. Access is limited by your role, and each PTO can reach only its own information. Receipts and attachments are stored privately and opened through links that expire. No system is perfectly secure, so please use a strong password and keep personal calendar links private.

Children

PineBoard is for adults who run and volunteer for PTOs. It isn’t directed to children under 13, and we don’t knowingly collect their personal information. Please don’t enter information about students into PineBoard. If you believe a child has given us personal information, contact us and we’ll delete it.

Your choices and rights

You can view and update your information in the app, change which notifications you get, and delete your account. Volunteers can ask the PTO’s board, or us, to correct or remove their information. Depending on where you live, you may have additional rights to access, correct, or delete your personal information; contact us to make a request.

Changes to this policy

If we make significant changes, we’ll update the date above and let board members know in the app or by email.
